Notifications

Notifications are a robust add-on for your Konvert™ Portal. If you are interested in adding Notifications but do not see the option in your Portal, please reach out to your Administrator or Konvert representative.


Konvert™ Notifications can be configured to automatically send emails to users when certain events within your Konvert™ portal occur, such as enrolling in a module, completing a module, or neglecting to complete a module within a defined period of time. The emails are highly customizable and can be configured to include personal information like the name of your Konvert™ portal, the name of the module, the user's name and much more.

ACCESS THE NOTIFICATIONS PAGE

To access the Notifications page, click the drop-down menu in the top-left corner of the screen and select the Portal Administration menu option (Fig. 1).

From the Portal Administration page, select the Notifications card (Fig. 2).

The Notifications screen will then be shown (Fig. 3).



CREATE A NOTIFICATION

Click the green Create Notification button near the upper-right corner to get started (Fig. 3).

The Basic Settings will then be available (Fig. 4).

From the Notification Type pop-up, choose one of the following:

  • Module Enrollment to notify Users that they have enrolled in a Module
  • Module Completion Reminder to notify Users that they still need to complete a Module
  • Module Complete to notify Users after they have completed a Module

After the Notification Type is selected, if you would like to rename the Notification you may do so in the Name (Optional) field. A number of additional settings should have now appeared on your screen, which we will examine in sections.


The Notification Delay (Fig. 5) option allows you to set how long the system waits after the triggering event has occurred before the Notification is sent. It can be sent immediately, or after any number of days, hours, or minutes has passed.

The Recipients section (Fig. 6) allows you to have the Notification sent either to the User who triggered the event, or to any other email address you enter.

For example, if a supervisor needs to know when someone has completed a module, or when someone started and did not complete a module, his or her email can be entered here. To enter multiple emails, click the "+" icon to the right of the email field (Fig. 7).

If you would like the Notification to be sent out for some modules but not others, the Module Filtering (Fig. 8) option can be utilized. The default setting is for All Modules.

After selecting the Specific modules only button, a list of all available modules will appear. Click the checkbox next to all modules that should trigger the Notification.

The Email Content section (Fig. 10) is where the powerful customization of a Notification can be configured. Note that each field has its own default setting, with some utilizing the available variables, which are explained below.

The following sections of the email can be personalized with your own text, including variables for personalization:

  • Custom Subject
  • Headline
  • Subline (subhead)
  • Main Message (body)
  • Button Text
  • Button URL

Standard HTML tags such as <em>, <strong>, <p> and <div> can also be used in the Email content fields.


When implementing variables, it is preferable to use the Available Template Variables section (Fig. 11). Rather than typing each variable, you can can simply click them here and they will be copied to your clipboard, and then easily pasted into the fields of the Email Content section (Fig. 10, above).

The Available Template Variables are:

  • Portal name
  • Portal Display name
  • Portal URL
  • Portal email logo URL
  • Portal footer copyright text
  • User's first name
  • User's last name
  • User's email address
  • User's ID
  • Title of the module
  • Module description
  • Module ID
  • Direct link to the module

Brief descriptions of each of the variables are listed directly below each of them in the Available Template Variables section (Fig. 11, above).


When you are done customizing your email Notification, you have the option to Preview (Fig. 12) it to ensure the text and variables have been set up properly. Choose a Module for the Preview from the Select Module for Preview pop-up, then click the orange Preview Email Template button.

The email Preview will then be displayed (Fig. 13).

If you are happy with the Notification email, click the Hide Preview button (Fig. 12, above), then click the green Save button at the bottom of the screen (Fig. 11, above) to finalize the Notification email template, or click the Cancel button to discard the Notification.



EDIT A  NOTIFICATION

To edit a Notification, access the Notifications page as described above, then click the name of the Notification in the list (Fig. 3, above). The Edit Notification screen will then be displayed (Fig. 14). All of the edit options are the same as those on the Create Notification screen as described above.

DISABLE A  NOTIFICATION

To disable a Notification, access the Notifications page as described above, then click the name of the Notification in the list (Fig. 3, above). The Edit Notification screen will then be displayed (Fig. 14. above). Click the Enable this notification toggle (Fig. 14, above) to disable the Notification, then click the green Save button at the bottom of the screen (Fig. 12, above).



DELETE A  NOTIFICATION

To delete a Notification, access the Notifications page as described above, then click the name of the Notification in the list (Fig. 3, above). The Edit Notification screen will then be displayed (Fig. 14. above). Click the click the red Delete button at the bottom of the screen (Fig. 15).

VIEW THE  NOTIFICATION LOG

The Notification Log (Fig. 16) is a powerful tool that allows you to view or export data that shows which Users have had automated Notifications sent to them.

To see if a specific User has had a Notification sent to them, enter their email address or name in the Search by email or name field at the top of the screen (Fig. 16, above).


To filter the results by Status, click in the Status Filter field and select All Statuses, Success Only, Error Only or Filtered Only (Fig. 17).

To filter the results by Notification Name, click in the Notification Name field and select the Notification from the pop-up menu (Fig. 18).

To filter the results by a date range, click in the Start Date field and select a date (Fig. 18), then click in the End Date field (Fig. 20) and select an End Date.

To edit the columns in the log, click the Edit Columns button (Fig. 21), then click the "x" next to the name of the column you'd like to remove, or select a new column from the pop-up that appears below the field.

To export the log a a .csv (comma separated values) file to use in a spreadsheet, database or other application, click the Export to CSV button (Fig. 21, above).
